Job Information

This position manages and executes all aspects of the documentation export process for a specific region; completing all necessary documentation required to export equipment out of the U.S. and import into other countries in locations such as Europe, Latin America, and Asia Pacific.  The position also completes the invoicing process which allows for revenue recognition.  This will ensure that there is a smooth flow of equipment and documents and that payment will be made.

Role & Responsibility

Traffic Coordinator

Accurately and efficiently execute the order fulfillment of assigned customer orders by completing each of the steps below:

  • Identify and/or allocate shippable material to customer orders.
  • Consolidate and route shipments to meet customer requirements while minimizing costs.
  • Maintain system integrity by executing all required system transactions.
  • Creation, distribution, and file management of shipping documentation meeting external and internal guidelines.
  • Ensure complete, accurate, and timely transaction, documentation, processing within a multiple system environment.
  • Ensure daily goals for shipments are met.
  • Track and report daily/monthly metrics.
  • Introduce and implement process improvement to maximize effectiveness while minimizing cost.
  • Follow and support ISO and quality program requirements.
  • Supervise support / interact with customer service, materials, marketing, customers, shipping, and other business unit departments in shipping matters.
  • Provide input and comply with corporate established transportation and government regulated guidelines.
  • Oversee International order management from order release to shipment and delivery.
  • Coordinate international container live loading shipping schedule.

Export Specialist

  • Supervise export shipments of Doosan trading companies and drop shipments on a worldwide basis.
  • Arrange steamship line bookings, coordinate exports with customer, sales, credit, and trucking companies.
  • Negotiate terms with local trucking companies handling drayage.
  • Arrange steamship line bookings, including the consolidation of freight as necessary.
  • Issue shipper’s letter of instructions to freight forwarders for ocean/air/truck freight shipments.
  • Review letters of credit, contracts and purchase orders.
  • Prepare collection documents, certificates of origin, insurance certificates, and any other required documentation.
  • Maintain a high level of customer service by communicating and coordinating shipment status and details.
  • Manage freight negotiation with trucking lines and steamship line/NVOCC carriers, including handling of freight quotations for potential sales.
  • Troubleshoot all situations related to the export process which could affect customer satisfaction, and compliance with country and contract regulations and letter of credit requirements.
  • Review and initiate revisions to orders entered by distributors and sales order management team.
  • Prepare monthly and special request reports as required.
  • Audit and maintain proof of export records, finalize and upgrade commercial invoices, distribute international invoices to required destinations.
  • Initiate payment process for shipping, packing, and freight forwarder vendors

Job Requirement

  • Business Administration – Bachelor’s Degree
  • Should have two to five years of related transportation, logistics, and export experience.
  • Must possess effective written and oral communication skills.
  • Ability to communicate effectively at all levels of the organization.
  • Must be knowledgeable on MS-OFFICE products as they apply to job function.
  • Experience with Internet, CDS, Oracle ERP systems preferred.
  • Must be able to work effectively and in a timely fashion with other teams and coworkers.
  • Ability to conduct business with Spanish speaking customers, preferred.
  • Some import experience and background required.
  • Excellence in accuracy, data analysis, and attention to detail.
  • Excellent math and 10 key/typing skills.
  • Professional and confidential information handling.
  • Team oriented, flexible to change.
  • PC Skills, Excel, Oracle, Power Point
  • 5>7 years of experience
  • Experience in operations and preferred: bilingual, logistics, familiar with HTS classification, NAFTA terms and regulations, Customs Brokerage License preferred, and experience with letter of credit terms and conditions.
  • Supervisory experience
  • < 10% travel
